We replaced the enrollment system of Club de Regatas Lima with a platform that orders peak demand through a virtual waiting room, deducts slots in real time, and bills automatically via SAP B1.

The Sports department sees, live, the day’s enrollments, slot occupancy per academy, and revenue.

A system that couldn’t keep up — and outages on enrollment day.

The club already had an enrollment system, but it didn’t fit the real operation of the Sports department. And critically: on enrollment days, the high concurrency of thousands of members brought the system down. On top of that, billing was manual and there was no live visibility into slots or revenue.

Order the demand and automate billing.

We built an end-to-end enrollment platform on React, NestJS and MongoDB. Two key pieces: a numbered virtual waiting room that orders the enrollment-day surge —with estimated wait times— so the system stays up; and the SAP B1 integration, which sends every enrollment to the ERP for automatic billing. All with the CRL single sign-on (SSO), real-time slots, and a dynamic dashboard.

    Step-by-step wizard tied to the family group: person, academy, schedule, validation, and confirmation, with a cart and slots that are deducted in real time.

  • Academies & offerings

    Scheduling of every offering on the club’s catalogs — academy, price, schedule, days, facility, instructor, and slots — with draft/published states and a recurring or package option.

  • Dynamic dashboard

    Live KPIs for enrollments, slots, occupancy, and revenue; a double-click drills down into the detail.

  • Reports

    By activity, schedule, membership card, instructor, and financial — exportable to Excel and PDF in the formats the club requires.

  • Integrations

    SAP B1 for automatic billing and the CRL single sign-on (SSO), with roles and permissions per profile (RBAC/ABAC).
